Job position Summary
The Inventory & Purchasing Manager is responsible for overseeing the aviation and general stores operations across Providenciales, Florida, and overseas locations. This role ensures the timely and efficient supply of materials, components, and equipment to support aircraft maintenance, airport operations, ground support equipment, and office requirements. The manager will lead purchasing, logistics, and inventory control functions while maintaining compliance with company policies and regulatory standards.
Key Responsibilities
Inventory & Stores Operations
· Oversee the receipt, labeling, storage, and release of parts and materials in compliance with manufacturer recommendations and regulatory requirements.
· Manage shelf-life items, quarantine areas, scrap processes, and tooling calibration programs.
· Maintain accurate, up-to-date records in the computerized inventory tracking system.
· Coordinate annual and periodic stock counts across all store locations and reconcile discrepancies.
· Implement and monitor minimum/maximum stock levels to ensure continuous operational support.
Logistics & Customs Compliance
· Supervise logistics operations between main and auxiliary bases, ensuring effective communication and timely supply delivery.
· Oversee inbound and outbound shipments, including customs formalities in Providenciales and overseas, ensuring compliance with CBP and local regulations.
· Coordinate shipping and receiving activities for containers and general cargo by air and sea.
· Support and track the dispatch and return of parts to external repair shops.
Leadership & Staff Management
· Recruit, train, evaluate, and organize departmental staff to ensure optimal performance.
· Supervise and manage stores personnel, develop shift rosters, and review/approve payroll reports.
· Foster a culture of safety, efficiency, and accountability within the department.
Compliance, Quality & Safety
· Ensure all materials are supported by proper release documentation and coordinate with Quality for inspections.
· Maintain safe, clean, and organized store facilities in accordance with safety and environmental requirements.
· Participate in CIAA, external and internal audits; implement corrective action and continuous improvement plans.
· Document warehouse, purchasing, and logistics procedures in coordination with Quality and Safety departments.
Reporting & Collaboration
· Liaise with Maintenance and Production teams to align supply priorities and attend weekly planning meetings.
· Prepare and present reports, KPIs, and updates for Engineering, Quality, Finance, and senior leadership.
· Attend managers' meetings, ensuring assigned tasks and deliverables are completed on time.
· Actively support fleet Entry in to Service (EIS) programs by coordinating supply chain readiness.
Procurement & Vendor Management
· Manage the sourcing, purchasing, and timely delivery of aviation parts, ground support equipment, airport operations materials, and office supplies.
· Evaluate suppliers, negotiate contracts, and approve quotations for purchasing and services in line with company procedures.
· Ensure efficient procurement processes that support maintenance production priorities (AOG, Critical,Routine).
· Coordinate warranty claims, core returns, surplus sales, and loan programs to optimize cost savings and component reliability.
Qualifications & Skills
· Bachelor's degree in Supply Chain Management, Aviation Management, Logistics, or related field (preferred).
· Minimum 3 years of experience in aviation stores, purchasing or logistics management.
· Strong knowledge of aviation regulations, customs requirements and supply chain practices.
· Proven leadership and team management skills.
· Proficiency in inventory management systems and Microsoft Office.
· Excellent organizational, communication, and problem-solving skills.
· English C1/C2
