Job Summary:
We are seeking a highly organized, detail-oriented and experienced
Remote Paralegal Virtual Assistant
with a strong understanding of legal terminology and documentation (especially in the construction industry), and proven ability to support attorneys with case management, legal research, and document preparation while managing
administrative tasks
such as scheduling, billing, email management, client communication, and database organization; the ideal candidate is proficient in Microsoft Office Suite and is familiar with legal management software, demonstrates excellent communication, organizational, and problem-solving skills, exercises sound judgment with discretion, is proactive, reliable, detail-oriented.
Key Responsibilities:
- Schedule and coordinate meetings, appointments, and virtual events.
- Manage daily administrative tasks, including intake, data entry, billing support, and email management.
- Draft, proofread, and format legal documents, contracts, correspondence, and reports.
- Conduct legal research and prepare case summaries, memoranda, and supporting documentation.
- Assist with case management by maintaining calendars, organizing case files, and tracking deadlines.
- Support attorneys in preparing for hearings, depositions, and client meetings.
- Manage communication with clients and stakeholders, including answering calls, performing follow-ups, and providing reminders and updates.
- Maintain and update contact lists, databases, and electronic filing systems while ensuring confidentiality of sensitive information.
- Monitor deadlines and ensure timely completion of tasks and projects.
- Identify and help implement process improvements to enhance operational efficiency.
- Support with additional
administrative tasks
as needed to assist the wider team. - Perform other tasks related to the position.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Strong interpersonal communication skills
with the ability to engage effectively with cross-functional teams, internal leaders, providers, and potential clients. - Positive attitude and a professional approach to problem-solving, with strong attention to detail and the ability to learn quickly.

- Availability to work from 9AM to 5PM EST (New York time zone).
- Law degree (preferred) or formal paralegal education.
- Strong understanding of legal terminology, procedures, and documentation, especially in the construction industry.
- Ability to handle confidential information with discretion.
- Minimum
1 year of experience as a paralegal
or legal assistant in a law firm setting. - Prior experience in roles such as
administrative assistant, data entry
, secretary, personal assistance, operations support, or other relevant positions. - Proficiency in Microsoft Office (Word, Microsoft Excel) and Google Workspace (Docs, Sheets).
- Familiarity with legal management software (Clio, MyCase, or similar) is a plus.
- Experience with Asana or other task management tools is a plus.
- Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
- Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet.
