Role Overview

The Chief of Staff / Executive Operations Manager is the strategic right hand to Nicola Antonio, Broker/Owner of RE/MAX Paradise. This senior role combines the duties of Executive Assistant and Office Administrator, ensuring that all business operations, communications, and CRM systems run efficiently. The position requires exceptional organizational skills, strong leadership, and the ability to oversee a team while directly supporting Nicola's workload, priorities, and schedule.

Key Responsibilities

  • Act as the central point of communication between Nicola, RE/MAX RD leadership, Toronto brokers, and the Paradise team.

  • Manage Nicola's professional schedule (Calendly), ensuring meetings, Zooms, and travel align with strategic priorities.

  • Oversee Follow Up Boss CRM: data accuracy, lead assignment, pipeline tracking, and red-flag escalation.

  • Supervise administrative team members in Bávaro and Puerto Plata offices.

  • Coordinate with Jose (Broker Manager) on sales issues and Realtor support.

  • Manage Nicola's professional and personal emails; draft, prioritize, and follow up on communications.

  • Plan and execute events: Toronto Realtor Roadshows, REMAX RD Broker Roadshows, Paradise Power Tours.

  • Organize travel arrangements (flights, hotels, ground transport) for Nicola and senior team.

  • Support digital branding tasks (stationery, business cards, presentation templates).

  • Maintain filing systems for contracts, agreements, and compliance documents.

  • Provide Nicola with daily and weekly briefings on key meetings, leads, and deadlines.

  • Serve as Nicola's proxy in select meetings or communications when required.

Qualifications:

  • Bachelor's degree in Business Administration, Communications, or related field (preferred).

  • 5+ years' experience in Executive Assistant, Operations Manager, or Chief of Staff role (real estate experience a strong plus).

  • Bilingual: English & Spanish required (French an asset).

  • Expertise in CRM systems (Follow Up Boss preferred).

  • Proficiency with Microsoft Office Suite, Google Workspace, Canva/Adobe.

  • Strong organizational, leadership, and interpersonal skills.

  • Ability to prioritize and manage multiple projects under pressure.

  • High level of professionalism, discretion, and integrity.
